Who we are

This website, captivateconsultants.ae, is operated by Captivate Hospitality Consultants, Ajman Free Zone, United Arab Emirates (“Captivate”, “we”, “us”). We are the controller of the personal data collected through this website. You can contact us about privacy at mb@captivateconsultants.ae.

Information we collect

We only collect the information you choose to send us through the forms on this website:

• Contact form: name, email address, company, mobile number (optional) and your message.
• Robotics enquiry: name, company, job title, email address, phone number, country, portfolio and property details, area of interest and your message.
• F&B Operations Health Check: name, email address, company, mobile number (optional), your answers and the resulting score.
• Website assistant: the questions you type into the chat assistant.
• Consultant network registration: see the section on consultant network applicants below.

We also receive standard technical data when you visit (such as IP address, browser type and pages viewed) in our server logs and, if you accept cookies, through Google Analytics.

Figures entered into our online calculators are processed in your browser to produce a result. We do not receive or store the numbers you enter.

How we use your information

• To respond to your enquiry and provide the services you request.
• To prepare and follow up on proposals and engagements.
• To answer your questions through the website assistant.
• To maintain, secure and improve the website.

Enquiry form submissions are sent to us by email. We do not keep them in a website database. Consultant network registrations are handled differently, as described below.

Consultant network applicants

If you register for the Captivate consultant network, this section explains how we handle your information.

What we collect

• The details you enter in the registration form: name, email, phone, location, LinkedIn profile, current role, languages, experience, specialisms, project examples, your answers about Captivate, availability, travel, day rate and contractor status.
• Your CV.
• If we invite you to the assessment: your signed confidentiality agreement (with the name you typed, the date and time, your IP address and browser), your answers, and, for each written answer, how much text was pasted and the time spent writing it.
• Our own notes, status and scores about your application.

Why we use it, and on what basis

We use this information only to assess your suitability for the network, to match you to projects and to contact you about them. The legal basis is taking steps at your request before entering into a contract, and our legitimate interest in selecting qualified consultants. You confirm your agreement to this when you register.

Decisions about the network are made by a person. The multiple-choice section of the assessment is marked automatically, but it is one input to a decision Michael Butler makes himself.

Where it is kept and who can see it

• Your details, CV and answers are encrypted and stored on our own servers hosted by IONOS in Germany (European Union).
• Only Captivate can access them, through a private page that requires a sign-in link sent to our own mailbox.
• Email notifications to us contain only your name and a short summary. Your contact details, CV and answers are not sent by email.
• Emails to you (confirmations, the assessment invitation and your copy of the confidentiality agreement) are delivered through Resend.
• If you answer the assessment in a language other than English, we may use Anthropic’s AI service to translate your answers into English for our review.
• We do not sell your information or share it outside Captivate without your permission.

How long we keep it

• If you join the network: for as long as you are part of it.
• If we decide not to take your application further: deleted 6 months after that decision.
• Otherwise: deleted 24 months after the last change to your application.

Deletion happens automatically. You can ask us to delete your information sooner, or to send you a copy of it, at any time.

Legal basis

We process personal data to respond to your request and take steps before entering into a contract with you, to comply with legal obligations, on the basis of our legitimate interest in operating and promoting our consultancy, and, for analytics cookies, on the basis of your consent.

Service providers

We do not sell personal data. We use the following providers to run this website, under appropriate safeguards:

• IONOS: website hosting (data centre in Germany).
• Resend: delivery of emails from this website.
• Anthropic: the AI service that answers questions in the website assistant, and that we may use to translate consultant assessment answers into English. Your chat messages are sent to it to generate a reply.
• Google: Google Analytics and Google Tag Manager, only if you accept cookies.
• Microsoft: our business email.

Some of these providers process data outside the United Arab Emirates.

Cookies

We use only the cookies needed for the website to work. With your permission, we also use Google Analytics cookies to understand how the website is used. Until you accept, Google is told not to store analytics or advertising cookies. You can change your choice at any time by clearing this website’s cookies in your browser. Two preference cookies are part of this: one remembers your language, and one shows prices and calculator figures in your local currency. The currency is chosen from the country your IP address belongs to, and only the currency code is stored in the cookie.

Data retention

We keep enquiry emails and related correspondence for as long as needed to respond and manage any resulting engagement, and afterwards only as long as required for legal, tax and accounting purposes.

Your rights

Depending on where you live, including under the UAE Personal Data Protection Law and the UK and EU GDPR, you may have the right to access, correct or delete your personal data, to object to or restrict processing, to withdraw consent, and to receive a copy of your data. To exercise these rights, email mb@captivateconsultants.ae. You also have the right to complain to your local data protection authority.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
